Contacts & Company Setup
Overview
Contacts in SMEOne represent customers, vendors, and other partners. Company settings store your legal entity profile: name, UEN, address, fiscal country (Singapore), and compliance flags.
Accurate master data is essential before Sales, Purchase, and Accounting go-live.
Step-by-Step Guide
Create a customer
- Open Contacts (or Sales → Customers).
- Click New.
- Enter Name, Email, Phone, and Address.
- Set Customer checkbox (and Vendor if they are both).
- Add Tax ID / UEN if required for invoicing.
- Save.
Create a vendor
- Open Contacts → New.
- Complete company details and mark as Vendor.
- Set payment terms and bank details on the Accounting tab if known.
- Save.
Review company profile
- Go to Settings → Companies (administrator).
- Open your company record.
- Verify:
- Company Name and UEN
- Country = Singapore
- Currency = SGD
- Fiscal country uses Singapore chart template
- Review GST F5 and InvoiceNow readiness flags with your consultant.
Lock company identity fields
SMEOne may restrict edits to UEN and registered company name after go-live to protect statutory consistency. Contact Adneti if a legal name change is required.
Import contacts (bulk)
- Use Contacts → Favourites → Import records (if enabled).
- Download the CSV template.
- Fill mandatory columns and upload.
- Map fields and validate preview before confirming.
FAQ
Q: What is UEN and why is it locked? A: Unique Entity Number is Singapore's business identifier. Locking prevents accidental changes that break GST or audit reports.
Q: Can one contact be both customer and vendor? A: Yes — enable both checkboxes on the same contact record.
Q: Why does my chart show only ~51 accounts? A: Fiscal country may still be US/generic. SMEOne should use Singapore (sg) template — expect ~170–200 accounts after correct setup. See Chart of Accounts chapter.
Q: Where are payment terms configured? A: On the contact Accounting tab, or globally under Accounting → Configuration → Payment Terms.
Q: Who can edit company settings? A: Typically SMEOne Manager or Developer roles only.
