Users & Permissions

Overview

SMEOne uses a role and group security model with Adneti-defined groups:

Group Typical access
SMEOne User Sales, Purchase, Inventory, Accounting day-to-day
SMEOne Manager Extended configuration within apps
SMEOne Developer Apps, Settings, technical menus

Apps and Settings top-level menus are hidden from standard users unless ?debug=1 and Developer group membership.

Each user has:

  • Login email (unique)
  • Access rights via group membership
  • Record rules scoping company and document visibility

Step-by-Step Guide

Create a new user (administrator)

  1. Settings → Users & Companies → Users → New (Developer access required).
  2. Enter Name and Email Address (login).
  3. Set Password or send invitation email.
  4. Assign Access Rights tabs:
  • Sales / Purchase / Inventory / Accounting levels
  • SMEOne User or Manager group
  1. Set Allowed Companies for multi-company databases.
  2. Save.

Assign SMEOne groups

  1. Edit user → Access Rights.
  2. Under SMEOne category, tick User, Manager, or Developer.
  3. Avoid granting Developer to operational staff.
  4. Save and test login in incognito window.

Deactivate a user

  1. Open user record.
  2. Uncheck Active.
  3. User cannot log in; historical audit entries remain.

Reset password

  1. Administrator clicks Action → Change Password on user.
  2. Or user self-serves via login Reset Password link.

Principle of least privilege

  1. Start with SMEOne User only.
  2. Add Manager rights for supervisors who configure products or approve documents.
  3. Developer reserved for Adneti consultants and internal IT.

FAQ

Q: Why can't I see Settings? A: You are not in SMEOne Developer group. Request access from administrator.

Q: How many users can I create? A: Limited by your licence agreement with Adneti — confirm seat count in contract.

Q: Can I restrict user to one company only? A: Yes — set Allowed Companies on user record.

Q: What is the difference between User and Manager? A: Manager typically includes configuration menus (products, taxes) within apps; User is transactional only.

Q: Are portal users the same as internal users? A: No — portal users have separate Portal group and /my access only.
