Sales — Quotations & Orders
Overview
The Sales app manages the quote-to-cash cycle: Quotation → Sales Order → Delivery → Invoice.
Standard workflow follows the Sales module with SMEOne branding on printed documents (PDF watermark, Adneti footer).
Step-by-Step Guide
Create a quotation
- Open Sales → Quotations → New.
- Select Customer (or create inline).
- Add Order Lines: product, quantity, unit price, tax.
- Set Quotation date and Expiration if applicable.
- Save as Quotation.
Send quotation to customer
- Open the quotation.
- Click Send by Email (or Print for PDF).
- Review email template and attach PDF.
- Send — status may change to Quotation Sent.
Confirm sales order
- When the customer accepts, click Confirm.
- Document becomes a Sales Order.
- Delivery and invoicing actions become available.
Deliver products (stockable items)
- On the sales order, click Delivery.
- Validate the delivery order in Inventory when goods ship.
- Stock on hand decreases automatically.
Create customer invoice
- On the sales order, click Create Invoice.
- Choose invoice type (regular / down payment per policy).
- Review invoice lines and GST tax.
- Confirm the invoice to post to Accounting.
Print sales documents
- Use Print → Quotation / Order / Invoice.
- SMEOne PDF layout includes branding watermark and compliance footer.
FAQ
Q: Can I edit a confirmed sales order? A: Limited fields may be locked. Cancel and recreate, or use administrator unlock — follow your internal policy.
Q: How is GST applied? A: Tax follows product and fiscal position configuration under Singapore localization. Verify tax on each line before confirming.
Q: What if the product is a service (no stock)? A: Set product type Service — skip delivery and invoice directly from the order.
Q: Can I apply a global discount? A: Use order-level discount fields or discount products per your chart of accounts mapping.
Q: Where are sales reports? A: Sales → Reporting for pipeline, revenue by customer, and quotation analysis.
