Sales — Proposals & Documents
Overview
Some SMEOne customer deployments include enhanced sales document features beyond standard quotations:
- Rich HTML proposals on quotations (customer variant modules)
- Custom PDF templates for quotations, invoices, and proposals
- WhatsApp follow-up integration for customer communication
These features depend on modules installed during your implementation. Standard motherboard deployments use default PDF layouts with SMEOne branding.
Step-by-Step Guide
Standard PDF quotation (all deployments)
- Open a confirmed or draft quotation.
- Click Print → Quotation.
- PDF opens with SMEOne external layout and watermark.
- Save or email to the customer.
HTML proposal (if enabled)
- Open a quotation with the Proposal tab or smart button.
- Edit rich HTML content (scope, deliverables, terms).
- Preview in browser.
- Send link or export PDF per module configuration.
Custom report templates (if enabled)
- Your consultant may install branded templates (customer-branded layout).
- Use Print menu — additional report names appear when installed.
- Select the template required by your sales SOP.
WhatsApp follow-up (if enabled)
- On a quotation or lead, click Send WhatsApp (when integrated).
- Message uses a predefined template with customer name and document link.
- Confirm sending from the connected WhatsApp Business account.
Attach supporting files
- On any sales document, use the Attachments paperclip icon.
- Upload contracts, PO copies, or scope documents.
- Attachments remain on the record for audit.
FAQ
Q: I don't see Proposal or WhatsApp buttons. A: Those modules are optional customer extensions. Your deployment may use standard quotations only.
Q: Can I change PDF footer text?
A: Branding is governed by smeone_branding. Footer and watermark changes require administrator or Adneti consultant update.
Q: How do I add my company logo? A: Settings → Companies → Company Logo — upload high-resolution PNG recommended.
Q: Are document numbers sequential? A: Yes — sequences are per journal/document type. Do not delete posted documents; use credit notes for corrections.
Q: Can customers sign quotations online? A: Portal e-signature depends on optional modules. Confirm with your implementation scope.
