Talent — Employee Management

Overview

Merit Talent manages the employee lifecycle: creating records, maintaining profiles, browsing the directory, and supporting MOM compliance artefacts such as Key Employment Terms (KET).

The Directory is the operational hub for HR and payroll teams. It supports search, employment filters, configurable columns, CSV export/import, and years-of-service (tenure) display.


Step-by-Step Guide

Create a new employee

  1. Open Merit Talent → Create employee (/talent).
  2. Complete required fields:
    • Full name
    • Position / job title
    • Joined date
  3. Optional but recommended: employee code, NRIC/FIN, citizenship, department, manager, bank details for GIRO.
  4. Select Legal entity — defaults to your current login organisation.
  5. Choose a save action:
    • Save employee (recommended) — saves and opens the full edit profile.
    • Save & open payroll — saves then jumps to Pay → Payroll for that employee.

GIRO / bank transfer setup

  1. On the create or edit form, set Mode of payment to GIRO or Bank transfer.
  2. Enter bank name and account number.
  3. Save and verify in Directory under Mode of payment.

Use the employee directory

  1. Open Merit Talent → Directory (/talent/employees).
  2. Search by name to filter the list.
  3. Set Employment status (Active, Terminated, or All).
  4. If your organisation uses divisions, note the Working division banner.
  5. Click Edit on a row to open the full employee profile.

Configure visible columns

  1. Click Columns (top right).
  2. Tick or untick fields (employee code, department, joined date, years of service, KET status, etc.).
  3. Reorder columns with move up/down controls.
  4. Click Show all to enable every available column.

Export directory to CSV

  1. Set filters and columns as needed.
  2. Click the Export icon (download arrow).
  3. Open the CSV in Excel — Name is always the first column, followed by your visible columns.

Import employees from CSV

  1. Click the template icon to download employee-import-template.csv.
  2. Fill required columns: fullName, nric, citizenshipStatus, baseSalary, joinedDate (format YYYY-MM-DD).
  3. Delete the sample row before import.
  4. Click the Import icon and select your CSV file.
  5. Review the success/failure summary and fix any row errors.

Edit employee profile & KET

  1. From Directory, click Edit.
  2. Update bank, shift, OT mode, leave settings, and compliance fields.
  3. Review KET statusNot issued means MOM Key Employment Terms evidence is not yet recorded.
  4. Save changes before leaving the page.

FAQ

Q: What is the difference between Save employee and Save & open payroll?
A: Save employee keeps you in Talent for data completion. Save & open payroll is a shortcut when the record is ready for an immediate pay run.

Q: Why is KET status "Not issued"?
A: The system has not recorded issued KET documentation for that employee. HR should complete KET compliance actions on the edit page.

Q: Can I import employees with duplicate employee codes?
A: Employee codes should be unique within the tenant. Import failures usually indicate validation or duplicate conflicts — read the error lines in the import summary.

Q: How is years of service (tenure) calculated?
A: From joined date to today for active staff, or to termination date for leavers. Display format example: 15 yr 2 mo.

Q: Can I assign a manager during CSV import?
A: Yes, use managerEmployeeCode referencing an existing employee code already in the directory.
